Identify the support chain before the deposit

Record the legal seller, manufacturer, importing entity and the workshop expected to support the equipment. Ask which party decides warranty claims and which party supplies parts. These roles may belong to different organizations. Request a written description of the handover between them, including the contact route and information needed to open a service case. If the seller offers regional support, ask which organization actually covers your location and the supplied configuration. Keep that answer with the accepted quotation rather than relying on the brand badge.

Build the truck identity record at handover

Retain the actual complete model, serial number, capacity plate, mast and attachment identities. For electric equipment, keep battery, charger, BMS and controller labels where available. For engine-powered equipment, retain engine and other relevant assembly identities. Ask which catalogue revision applies to the delivered truck and how configuration changes are recorded. A family name can contain several masts, electrical systems or component revisions. Photos of labels and connectors help organize an enquiry, but they do not replace manufacturer confirmation of applicability.

Match parts before asking for price

Give the supplier the equipment identity, catalogue reference and existing part number. Explain whether the request concerns a worn component, an absent component or a diagnosed fault. Ask the seller to identify any superseded number and the evidence that the replacement applies to the actual configuration. For electronic components, ask about programming, connector and communication requirements. Do not approve substitution simply because a part looks similar or has the same nominal voltage. Keep confirmation from the responsible technical party with the purchase record.

Make availability a dated commercial answer

Ask whether the proposed part is physically held, where it is held and whether it is reserved for your order. Separate stock status from manufacturing or replenishment lead time. Request a dated quotation covering quantity, delivery basis, transport and the validity of the availability statement. Clarify what happens if the part cannot be supplied as quoted. Plan diagnostics and service access

Ask who performs troubleshooting, how fault information is collected and what manuals or diagnostic tools are available to the supporting workshop. Clarify whether access requires a dealer account, training or manufacturer authorization. For a controller or battery-related issue, identify who supports the interface between component suppliers. Record local attendance, remote assistance and component-return arrangements separately. Read warranty beyond the headline duration

Request the applicable warranty document for the offered truck and important components. Record usage limits, maintenance conditions, exclusions, claim evidence and the provider responsible for a decision. Ask whether labour, travel, diagnosis, component freight and installation are included. Clarify approval requirements before replacing a component during a claim. If the truck, battery and attachment have separate warranties, keep each provider and scope visible. A long headline period alone does not explain how an interrupted operation will be restored.

Select initial spares from the operating case

Ask the supporting provider to propose initial parts using the actual configuration, workload, maintenance schedule and expected replenishment route. Separate scheduled consumables from components held to reduce downtime risk. Request applicability for every suggested item and identify storage or service-life limits where relevant. Compare the cost of holding a part with the consequences of waiting for it, using your own operation’s assumptions. There is no universal starter kit that covers every truck, destination and maintenance organization.

Keep service history connected to future sourcing

Record accepted parts numbers, approved replacements, dates, supplier references and the work performed. Preserve the original configuration record when an approved change is made rather than losing the earlier identity. When ordering again, check whether a revision or supersession affects the request. Use the same evidence file for the workshop, warranty provider and parts supplier so they can resolve disagreements against the same records. This also helps distinguish an equipment requirement from a component availability question.

Carry procurement evidence into parts support

Retain the complete truck code, serial number, capacity plate, mast and attachment identities, and battery and charger labels where relevant.
